Frequently Asked Questions Table of Contents:
How can I get more information? If you have a question that you can not find an answer to on this site, please use the Contact Us page or call us at 214-692-0526. Back to TopWhat is the process for making a booking? If you would like to make a reservation, please send us an e-mail letting us know the dates you would like to arrive and depart, the number of people in your party, the ages of any children and if you would like the optional high speed internet access. When we receive your message, we will create a rental agreement similar to the one you see on this site, but with your unique information. We will send you the agreement as a Microsoft Word email attachment and ask you to read it carefully, complete the designated areas and return it to us along with your $500 deposit or full payment, depending on how close it is to the actual rental date. Bookings made less than 30 days prior to the rental date require full payment, plus the security deposit. We will hold your reservation for one week to allow enough time for the mail service. After we receive the signed agreement, along with your deposit, we will make the booking and provide you with a confirming letter along with your copy of the executed agreement. As the date of your visit approaches, we ask that you send the full amount of the rental, including the cleaning fee, optional fees and tax, so it will be received no less than thirty days prior to your arrival. When the rental payment has been received we will send you another confirming letter along with maps and detailed instructions on how to get the keys, how to disarm and arm the security system and a thorough description of the home's amenities. This is what we call the "Hummingbird Heights Handbook". You may view an edited version of the handbook on this web site, see the button labeled "Handbook". After you depart, our caretaker and cleaning service will inspect the home and notify me that everything has been left in proper order. Your initial deposit will be returned to you within thirty days of your departure. Back to TopHow is payment made when time is short? The preferred method of payment is certified funds (certified bank check or money order) sent by a traceable overnight service such as FedEx. Yes, we are pleased to offer a 5% discount for bookings longer than two weeks and a 10% discount for bookings made within one week of rental for a minimum of one week. Also, visit our Specials page for other offers. Back to TopGenerally speaking, we do not offer weekend rentals during our high season, June - October. We have a Saturday-to-Saturday rental week and a weekend rental would block out two weeks. We do consider weekend rentals during the winter months (November - May), but we look at each situation on an individual basis. However, if your schedule would permit a time which did not overlap two rental weeks, we would consider daily rentals if it was on short notice. The daily rate is between $185 - $225 per night depending on the time of year and there is a two night minimum. Back to TopWould you consider a very well trained pet? I'm sorry, but we do not allow pets of any kind. While we can appreciate that your pet acts in a very responsible and predictable way in your presence or in familiar surroundings, we have learned the hard way that pets can act very differently when they are in unfamiliar surrounds, especially if they sense another animal has been there. We actually have a dog of our own. However, we do not bring her to our Waynesville home for exactly the same reasons I mentioned. In addition, we have some guests who are very concerned about their allergies and I assure them that no pets have stayed in the house. I feel I owe it to them to keep our commitment. Why is the outdoor spa not available from Thanksgiving to April? December through March is the coldest time of the year and temperatures can get well below zero. Not only is it expensive to maintain the spa temperature so that the water in the pipes does not freeze, but even if we tried, a short power outage could cause the water to freeze. Once there is a freeze in any portion of any pipe, the circulation will stop and any water throughout the spa could, and probably would freeze, causing significant damage. We learned this the hard way at an expense of over $2,000 and considerable inconvenience!
